How to Move from Paper to Digital

Dave Leverenz, the archivist for the National Lutheran Secretariat of Via de Cristo, led this Exchange of Ideas Session sharing his expertise in archiving secretariat records. Dave recommended not setting expectations too high and described the archiving principles to be considered when beginning the process of transferring paper records to digital files. To determine what files should be converted, it is important to consider the reason for archiving and storing records digitally. Files of historical value, such as meeting minutes and newsletters, and resource information, such as lists of teams and pilgrims, are the two most important reasons for digital storage. Tips for the selection of file formats, file names, and names of folders were provided. The safe storage of digital files, either in the cloud or on an external drive, was recommended. Dave provided additional tips for effective scanning of paper documents and compression of the scanned files. The session attendees asked clarifying questions and commented on the many aspects of creating searchable files and folder systems, noting the importance of usability of the information stored.
